The following booking conditions apply to all trips operated by Adventure Treks Nepal (P). Ltd.

Terms & Conditions: The following booking conditions apply to all trips operated by Adventure Treks Nepal (P). Ltd.

HEALTH: Good health and physical fitness are required on all trips. We recommend a physical examination for all Guests on extended treks.

INSURANCE: It is a condition of booking a trek with Adventure Treks Nepal (P). Ltd. that Guests must be protected by insurance that covers cancellation, accidents, health, emergency evacuation, and loss, theft of or damage to baggage and personal effects.

All costs for emergency evacuation must be paid in cash in Nepal unless an insurance company has agreed to pay the costs on your behalf. It is important that any insurance policy issued to cover emergency evacuation for a trek does not exclude alpinism or mountaineering.

Note: Rescue insurance is not available in Nepal.

PAYMENT:

01:
We require 25% deposit per person in advance. Full payments will be due prior before departure group from Kathmandu / Upon your arrivals.

02: For trek that require Domestic flight, Booking (30% deposit for the total cost) should be made 03 months ahead. Booking for normal trek will be confirmed upon receiving 25% deposit of the total in advance. Full payments will be due prior before departure group from Kathmandu .

03: For Tibet , Bhutan , Sikkim & India Tour: Reservation can be accepted 50% Deposit of the total cost. Full payments will be due prior your arrival in Kathmandu or any arrival places to our Agent after receiving all amount we will send you the invoice.

We offer two methods of payment:

01: Bank
02: Any Money Transfer.

Both method because it is fast, secure and easy.

Note: Final payment should be in cash or Travelers cheque once you arrive in Kathmandu . Please note that we discourage payment by credit card because this incurs an additional service charge that (5%) we have not included in the cost of your trek.

CANCELLATION:

01: For any cancellation made 35 Days before the departure date there shall be no cancellation charge.
02: 25% service charge against total cost of trip if cancellations made prior to 30 days before departure date.

All correspondence/s in respect of all services bookings should be addressed to M/s. Adventure Treks Nepal Pvt. Ltd. Or Any our Agent (Partner) in India, Tibet, Sikkim or Bhutan.  

Payments:

For the services contracted, some advance (30%) payment (For Nepal) and 50% For India, Tibet, Sikkim & Bhutan should be made to hold the booking on a confirmed basis and the balance amount can be paid either before your departure from your country or upon arrival in Nepal (or any other above mentioned) country. We hold the right to decide upon the amount to be paid as an advance payment, based on the nature of services and the time left for the commencement of the services. Payment can be made through Cash or travelers cheque or through Master/Visa credit card. In case of payment through credit card, the bank charges (4.5% extra) - would be levied over and above the total amount.

Apart from the above in some cases like special Flight booking - train journeys (In India Tour), hotel or resort bookings during the peak season (X-Mas, New Year) full payment is required to be sent in advance.

Mode of Payment:

Overseas advance payment can be made through wire transfer to our bank .

Policy Regarding Cancellation / No show / Early Departure: In case of cancellation of /Trekking/ Expedition/tour/travel services due to any avoidable/unavoidable reason/s we must be informed in writing. Cancellation charges would be effective from the date we receive letter in writing and cancellation charges would be as follows:

CANCELLATION POLICY:

FOR NEPAL, TIBET & BHUTAN:

01: For any cancellation made 35 Days before the departure date there shall be no cancellation charge.
02: 25% service charge against total cost of trip if cancellations made prior to 30 days before departure date.

FOR INDIA (SIKKIM,LADAKH):

  • 60 days & prior to arrival - 10% of the tour/service cost.
  • 59 days to 30 days prior to arrival - 20% of the tour/service cost.
  • 29 days to 15 days prior to arrival - 25% of the tour/service cost.
  • 14 days to 08 days prior to arrival - 50% of the tour/service cost.
  • 07 days & less, prior to arrival or no show - NO REFUND.

Please note: Irrespective of above mentioned cancellations slabs - incase of cancellation of tour services after the booking is made with us - a minimum 25 % service charges would be applicable.

In case of special train journey (like Palace on Wheels, Deccan Odyssey, Royal Orient etc.) and high peak season bookings (from 20th Dec to 15th Jan) a separate cancellation policy is applicable (which would be advised as and when required) (It is just for India Tours).

Refund:

In regard to refund of unused / unutilized services (which are paid for and cancelled in advance) the refund amount would be worked out on the basis of cancellation policy as described above and the money would be accordingly refunded to the person who has made the payment to us. Please note that the refund process may take 2 - 7 weeks due to banking procedures. If the refund is made to the credit card account OR to Bank account, the bank charges would be debited from the refund amount.

Our liabilities & limitations:

Please note that after the finalization of the tour/service cost, if there are any hikes in entrance fees of monuments/museums, taxes, fuel cost or guide charges by the Govt. of Nepal, the same would be charged as extra.

Adventure Treks Nepal. Pvt. Ltd. act only in the capacity of agent for thehotels, airlines, transporters, railways & contractors providing other services & all exchange orders, receipts, contracts & tickets issued by us are issued subject to terms & conditions under which these services are provided by them.

All itineraries are sample itineraries, intended to give you a general idea of the likely trip schedule. Numerous factors such as weather, road conditions, the physical ability of the participants etc. may dictate itinerary changes either before the tour or while on the trail. We reserve the right to change any schedule in the interest of the trip participants' safety, comfort & general well being.

Our rates are based on the prevailing rates as negotiated by us with the hotels, airlines etc. Hotels and Airlines retain the right to modify the rates without notice. In case of such changes the rates quoted before the modification, can be changed by us according to the modifications by hotels or airlines. All hotel bookings are based on usual check in and check out time of the hotels until unless indicated in the itinerary

We shall not be responsible for any delays & alterations in the programme or expenses incurred - directly or indirectly - due to natural hazards, flight cancellations, accident, breakdown of machinery or equipments, breakdown of transport, weather, sickness, landslides, political closures or any untoward incidents.

Insurance:

Adventure Treks Nepal (P) Ltd. Should not be responsible for any loss, injury or damage to person, property, or otherwise in connection with any accommodation, transportation or other services, resulting - directly or indirectly - from any act of GOD, dangers, fire, accident, emergency evacuation, breakdown in machinery or equipment, breakdown of transport, wars, civil disturbances, strikes, riots, thefts, pilferages, epidemics, medical or custom department regulations, defaults etc or any other causes beyond our control.

We have a Insurance just for our staffs, We do not have any insurance policy (For clients) covering the above mentioned expenses so Visitors are advised to seek such insurance arrangements in their home country.

Emergency evacuation: Incase of emergency during the trip, Helicopter will be arranged by Adventure Treks Nepal (P).Ltd. The charges most be paid by the clients themselves before departure from Nepal or any other country.

Note: Rescue insurance are not available in Nepal, India, Tibet, Bhutan .

Arrival and Departure Policy:

In General, the normal check-in / check-out time at all hotels in Nepal/Tibet/India and Bhutan is 1200 hrs. However, it might vary at some cities / hotels.

Early check-in is subject to availability of room and at the discretion of the hotel concerned. However, for guaranteed early check-in, reservation needs to be made starting from the previous night.

Similarly, Late check-out is subject to availability of room and at the discretion of the hotel concerned. However, the guaranteed late check-out is on payment basis.

Tour Leader: For group of the 15+ full paying persons, Tour leader will be free of Trekking & Hotel cost.
